Google data accessed

With each account owner's authorization, the applications request read only Gmail access to retrieve message metadata, message bodies, and attachments needed for search and review. Sims OS may also read Google Calendar information when separately authorized. The applications do not request permission to send, delete, archive, or relabel Gmail messages.

How data is used and stored

Gmail data is used to show mail, answer the owner's searches and questions, investigate possible events, and record local review, task, and routing decisions. Email Agent stores account identifiers, message metadata, task and routing records, and sync state in a private local database. It reads full message bodies from Gmail when needed. Google refresh credentials are kept in macOS Keychain.

Sims OS may also display information from the owner's connected Notion workspace. The underlying Gmail and Notion accounts remain the source of truth.

External processing

If the optional OpenAI answer feature is configured and the owner asks a mail question, the question and relevant retrieved email source packet are sent to the configured OpenAI API to produce an answer. Without that feature, Email Agent uses local extraction. Google processes authentication and Gmail API requests. No Gmail data is sold or used for advertising.

Access, retention, and choices

The applications are intended for the owner's own use on the local computer. The owner can revoke Google access in their Google Account settings. Local review records and saved credentials remain on the device until the owner removes them; disconnecting Google access does not automatically erase local records.
